Rhonda's Rainbow Childcare

Policies and Procedures

OBJECTIVES
To provide a safe and loving environment for your child. To assist in the training of social skills and instill the importance of teamwork. Play and have lots of fun.

HOURS
Monday through Friday, 6:30 a.m. to 5:00 p.m. A limit of the (10) hours a day per child has been established unless agreed upon; in advance. Very open and flexible to negotiation on the opening time but very firm on the 5:00 pickup (5:00 **NO EXCEPTION**).

RATES
$160.00 per week, for each child, paid in advance on Friday morning. The drop-in
rate is $40.00 per day, for each child. The rate includes snack and lunches for toddlers and older children. Items not included are diapers, wipes, ointments, formula, bottles, and baby food for infants. All fees are due and payable regardless of circumstances, to hold your child’s position (i.e. your vacation days and sick days). If you do not want to pay for your days off, you may choose to pay a $200.00 weekly rate instead. Another option to teachers for teacher rates see extended leave below.

NOTE: I take two (2) or three (3) weeks “unpaid” vacation during the year and five (5) paid personal days, if necessary.

HOLDING FEE
A one (1) week of tuition is required as a holding fee to secure your spot and is used for your last week of care. There is the option for this week of pay, if you wish, may be spread over a five week period, which would be $33.00 added to your weekly tuition for a five week period (160.00 + 33.00 = 193.00).

ADVANCED ARRANGEMENTS
If you are seeking child care in advanced of your child’s actual start date, you may choose to reserve a spot in care. To reserve an available spot, you must complete the required paperwork and begin making weekly payments of $50.00 due every Friday morning before 10:00 a.m. This holding fee ensures your child’s place when you are ready to begin care. This fee will not be applied toward daycare tuition but in most cases tax deductible for daycare. Once you decide to place your child in care, you are required to pay the first and last week of tuition prior to or on your child’s first day of care.

MATERNITY LEAVES
This leave will have be a minimum of three (3) days attendance during a maternity leave to hold the spot. It is important that your consider having your child(ren) attend rather than just pay for the spot; it is important that the child(ren) have some consistency in their daily routine while having to adjust to the new baby at home. And this gives you time for errands, appointments and one on one time with the new little baby.

EXTENDED LEAVES (TEACHERS)
EXTENDED LEAVES (TEACHERS) Rhonda’s Rainbow has two options for Teacher contracts: Option One: August through May only tuition of $200 per week, allowing contracted time off tuition free for vacations, holidays etc. Including 9 weeks of summer. Option Two: August through May, current rate of $160 per week. Summer tuition will be half the normal rate with the option for your child to attend up to two days a month, days to be arranged in advance. Arrangements for attendance must be made in advance; as I do fill the unattended spots in the summer. If arrangements are not made in advance then attendance will be granted upon availability only.

N/S FUNDS
Should your check be returned for any reason, a $45.00 fee will be imposed, along with additional fees that I may incur from your NSF check. Should this happen a second time, from that point forward, only cash will be accepted.

FEES
Overtime rate: $1 per minute after 5:00 p.m.
Late Payments: $15 per day, after 5:00 p.m., on Friday of pay day.

Remember for the children’s sake, nobody likes being the last one left behind and children that are here ten (10) hours a day become irritable and hungry, making it harder on them and myself. These fees will be due and payable the next working day morning.

The state now allows providers to enter into their contracts the following “No child is permitted to return to daycare until all arrearages and fees are current”. Also, in cases where a client is taken to court the following clause is allowed:

Past Due Tuition Fee: Would be the amount that has accrued.
Balance: Amount will be determined by the court.
In the event that a court date has to be set for collection of past tuition, the Parent/Guardian will be responsible for any and all fees associated with this. This includes but, is not limited to, all late fees, loss of wages and any court costs. Also, if your childcare account remains unpaid for any reason, be advised that your account will be reported to Provider Watch immediately. Provider Watch is a childcare reporting agency. Your delinquent account being reported will likely make it more difficult for you find childcare; as providers are not willing to accept your child until any such accounts have been paid in full.

SICK POLICY
A temperature of (100) degrees, diarrhea, or vomiting is symptoms of a contagious illness. You will be notified to pick up your child should he/she become ill while in my care. You must pick up your child within one (1) hour of notification. Infected skin patches or unusual spots or rashes, severe coughing and/or breathing difficulties, as well as yellowish skin or eyes will also be cause for pick up. If your child is on any medication, please label and leave with me. A medical release form will need to be supplied with medication, both prescription and non-prescription.

SUBSTITUTES
Parents are to acknowledge that a substitute day care provider may be called on occasion. Each parent/guardian should have a backup plan if for some reason I am not available.

SCHEDULE CHANGES
All schedule changes need to be requested at least one (1) day in advance, emergencies exempt. If you are on vacation or on a scheduled day off and you need my services, please discuss it with me ahead of time, so that I will be able to make any necessary adjustments.

PICK UP/DROP OFF POLICY
If there will be any changes in the person(s) dropping off or picking up your child (which are not listed on the Authorization For Pick Up Form), a written statement will be required by the parent(s) which lists the names and drivers license number of those involved. This written statement must be submitted prior to the day of the change. NO EXCEPTIONS!!

CUSTODY, DIVORCE AND SEPARATION ISSUES
It is always sad when a relationship comes to an end; it is especially heartbreaking when that relationship involves children. My daycare is designed to be a safe haven for your children, a neutral ground where these issues are not a concern. Therefore, listed below are my guidelines for dealing with these unfortunate issues.

In the case where Parents might be divorced or going through a separation/divorce, do not ask me to disallow either spouse to pick up their own child. The only way I will honor this request is with a signed court document stating you have full custody or that visitation rights have been relinquished to either parent. You may not use my home as a battleground for your marital problems. For example, your ex is scheduled to pick up your child at 5:30 at your home, and you normally pick up your child from daycare at 5:00; do not ask me to keep your child a 1/2 hour later so that you do not have to confront your spouse. I do not want to get involved in your marital issues or personal matters. Another example might be using my home for visitation; you may not come to visit and/or call your child if it is not your designated time with the child.

I thank you for your cooperation in keeping my daycare home a safe and secure environment for your children, as well as any other children.

Verification of Legal Custody
I must have on file, a copy of the court order recognizing the parent who has custody of the child. Otherwise, I have no choice except to release the child to his/her parent.

PAID HOLIDAYS
I will be closed on the following holidays which include: New Year’s Day, Martin Luther King Day, Presidents’ Day, Good Friday, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving and the day after, Christmas Eve and Christmas Day, which you will be required to pay regular fees.

TERMINATION
A two (2) week notice is required when the services of Rhonda’s Rainbow Child Care are no longer needed and/or two-weeks full pay, in advance. Either parent/guardian or provider may terminate this contract by giving the two (2) week notice. The Holding Fee will be applied to the last weeks; the other week is to be paid when notice is given. (Payment is to be made whether child is brought for the last two (2) weeks or not). In the event that a Court Date has to be set for collection, the Parent/Guardian will be responsible for any and all fees associated, including but not limited to Late Fees, Loss of Wages and any Court Costs.

Failure to observe any or all policies contained in this agreement may result in termination of care for your child. Rhonda’s Rainbow Child Care also reserves the right to terminate the care for any child when it is determined that care services will no longer benefit the child and/or the other children registered.

Examples of possible reasons are:

  • Persistent or malicious biting.
  • Persistent aggressive behavior with or without the intent to harm the other children.
  • Causing harm to other children.
  • Persistent behavior which may cause harm to themselves such as head banging, self biting, or self scratching.

Parental Behaviors:

  • Failure to arrive in time to pick up your child on more than three (3) consecutive occasions.
  • The arrival of any parent while intoxicated (drop off or pick up).
  • Personal or verbal aggressiveness.
  • Whenever possible, written documentation will be supplied to the parent prior to the termination of care for their child.

NOTE: All day care providers are required by law to report any strong suspicions or neglect or abuse.

REVISIONS TO CONTRACT
A minimum two (2) week notice will be given when any changes are made to the contract. I retain the right to terminate this contract WITHOUT NOTICE in the case of delinquent fees, for behavior problems, dangerous parental situations or disrespectful or threatening to any person connected with Rhonda’s Rainbow Child Care. Deposits paid or remaining weekly fees will be forfeited.

AMENDMENTS TO CONTRACT
All changes or issues not covered in this contract must be written on the amendment page with the written consent and the approval of Rhonda’s Rainbow Child Care. Please feel free to talk with me at anytime about questions that you may have. I feel that I can only do my job well with good communication with you. My priority is your child’s development into an independent, self assured, nutrition, and discipline, emotional and moral area.

DISCLAIMER
I/We hereby agree to comply with the rules and regulations of Rhonda’s Rainbow Child Care regarding fees, attendance, health, clothing, and other items specified in these Policy and Procedures. I am aware of the scheduled child care holidays. The information contained here within, as well as rates are reviewed yearly. You will be notified with a minimum of at least two (2) weeks, in advance, in writing of any changes before they are put in place. Rhonda’s Rainbow Child Care reserves the right to terminate without notice, any child of a parent who is disrespectful and/or threatening to any within this Child Care.

By signing this agreement, I/We agree to honor all terms of this contract and the written policies of Rhonda’s Rainbow Child Care, now and in the future. Breach of contract in any means from the parent(s), may result in immediate termination of any and all services.
